Database and Bookkeeping Associate
La Scuola International School, an independent PreK-8 Reggio Emilia, International Baccalaureate (IB) and Italian immersion school in San Francisco, seeks a full-time Database and Bookkeeping Associate in the Development and Business Offices providing support for, and reporting to, the Director of Development and Business Manager. This position starts immediately.
The Database and Bookkeeping Associate supports two offices in coordination with the Director of Development, the Business Manager, and Bookkeeping Manager. In the Database Associate role, this person is responsible for the data, research, and systems that support La Scuola’s fundraising strategy and will help manage the Filemaker-based database (InResonance’s Generations) as well as other related administrative tasks as needed.
In the Bookkeeping Associate role, this person is responsible for supporting the Business Office in the bookkeeping functions using GL software QuickBooks.
Database Associate role:
This position will oversee data integrity, accurate financial reporting, prospect management, the accurate and timely entry of gifts and pledge reminders, record clean-up and maintenance, as well as to assist with gift acknowledgments. Further, the position will be the primary custodian of processes and procedures for organizing, storing, and utilizing donor data to further support the school’s fundraising strategies. This role may also help with prospect research and communications for fundraising events.
A successful candidate will have experience in data management and fundraising. Filemaker or InResonance experience highly desired as are keen analytical skills, strong attention to detail and a willingness to take on a wide variety of tasks. Bookkeeping Associate role:
The Bookkeeping Associate is appointed and is delegated authority by the Bookkeeping Manager and the Business Officer. The Bookkeeping Associate assumes responsibility in supporting the Bookkeeping Manager for the effective day-to-day bookkeeping and expense tracking. The position works closely with the Bookkeeping Manager, and requires a collaborative working relationship with the Development Office, front office staff, and teachers.
Database and Development
• Review and revise database structure and practices for most efficient storage and retrieval of donor information, maximizing usefulness of codes for various funds and constituent information
• Ensure that all gifts are quickly and accurately recorded, processed, and tracked.
• Reconcile gifts and pledges with business office
• Create and run reports and exports to support fundraising efforts
• Update student and family information in the database
• Assist Director of Development in the execution of all special events as necessary

Required Qualifications + Skills:
Advanced proficiency with MS Office Suite required (Excel and Word/mail merge)
1-2 years experience working with a CRM/donor database (Filemaker preferred)
1-2 years experience working with QuickBooks
2+ years working in a development or database-related administrative role in an academic or nonprofit setting preferred
2+ years of responsible bookkeeping, accounting or business experience
Experience with data clean-up highly desired
Proficiency with Mac platforms, demonstrated ability to learn new software quickly
Excellent written and verbal communication skills
Ability to maintain the highest degree of confidentiality regarding all aspects of work
High attention to detail
Ability to multi-task in a fast-paced, team-oriented environment, prioritize activities and meet deadlines
Strong analytical skills
Knowledge of social media marketing tools
Local travel between two campuses in San Francisco required
Must be authorized to work in the U.S.
Prior to beginning work and as a condition of employment in order to comply with the law, all employees must provide documentation to prove eligibility to work in United States.
In addition, the final candidate will need to pass Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance, a physical exam, provide recent copy of a negative TB test, and other immunizations records.
